Privacy Policy
Effective Date: September 24, 2026
Operated by 7Bark Software LLC, doing business as K9 Events HQ.
In plain English
- We collect what it takes to run dog sport events: your contact details, your dogs, your entries, and official results.
- Dog profiles and official results are public by design. Your last name, email, phone, and address are not.
- We do not sell your personal information, do not use it for targeted advertising, and do not use it to train AI models.
- Entry fees go through the host club's Square account. Donations go through Stripe. We never see or store card numbers.
- If you connect a dog to K9 Stats HQ, we send that dog's official results there and show the titles it sends back. We never receive its health or care records.
- To close your account or get a copy of your data, email us. Those are not self-service yet.

1. Who we are
7Bark Software LLC, doing business as K9 Events HQ ("we," "us," or "our"), operates the K9 Events HQ platform at k9eventshq.com ("the Platform"). The Platform was previously called Sport Dog Hub. This policy explains what information we collect, how we use and share it, and the choices you have. It applies to the Platform, our emails, and our optional connection to K9 Stats HQ. K9 Stats HQ is a separate product with its own privacy policy.
2. Information you give us
Your account
- Name, email address, phone number, and a password (stored only as a hash, never as plain text)
- Optional: mailing address, profile photo, username, and time zone
- Your role (competitor, club owner, score keeper, or photographer) and, for club owners and photographers, our approval status
- If you are a judge: the organizations you judge for and your judge number, which you can add to a competitor account
- Email notification settings and, if you turn them on, browser push notification settings
Your dogs
- Name, registered names, breed, sex, color, date of birth, height, and current weight
- An optional weight log (date, weight, and a note) that you keep yourself. This is the only body measurement history the Platform keeps; it is used for the dog's profile and is not a health or veterinary record
- Registration numbers you choose to add (UKC, AKC, NADD, UpDog team numbers, and others), microchip number, sports, an optional fun fact, photos, and an optional handler name
- The Dog Number we assign (format DD-0001), which is permanent and is the identifier shared with K9 Stats HQ
We do not collect vaccination, veterinary, medication, feeding, or medical condition records. Please do not enter them in free-text fields.
Youth handlers
Where a sanctioning organization offers youth or junior handler classes, an adult account holder may add a youth handler's first name, last name, and date of birth so the youth can be entered under those rules. The adult account holder controls that information and can remove it. See section 14.
Event entries and results
- Which dogs you enter in which runs, class, handler name for that entry, scratch and alternate status, and whether an entry has been paid
- When an event requires a waiver (currently UKC events), the time you accepted it, the name you signed with, and the IP address you signed from
- Scores, no-jump reasons, official scores, placements, points, and qualification records, entered by the club's score keepers and judges
Clubs and events
- Club name, hometown and state, description, website, sports, banner image, and board or staff members
- A club contact phone number, which is required and is kept private to our staff and the club's own managers
- Event details, pricing and coupons, documents such as judges' sheets, and event notes club staff write about registrations, which are visible to the club's staff and our administrators
- For sanctioned events, the name and contact details of the event chairperson and secretary, which the club enters for the sanctioning organization's paperwork
- If the club connects Square: its Square merchant ID, location, and the authorization tokens Square issues so we can create checkouts on the club's behalf
Photographers
- Business name, bio, tagline, sports and coverage types, experience, website and social links, a public contact email or link, home city, state and ZIP code, a travel radius, travel dates, and showcase photos
- We convert the home base and travel locations to map coordinates so clubs can find photographers near an event
Documents, messages and feedback
- Documents you upload, such as insurance certificates and judge certifications, with an optional expiry date so we can remind you
- Messages you send and receive in in-app messaging, and broadcasts a club sends to its registrants
- Feedback you submit through the feedback form, and support emails you send us
3. Information collected automatically
- Page views. For each page you load (not API calls or static files) we record the page, the time, your IP address, browser and operating system, device type, the referring page, response time, and your account ID if you are signed in. We use this to understand how the Platform is used and to troubleshoot it. This is our own logging; no third-party analytics service receives it.
- Audit log. Significant actions, such as score changes, lock and unlock of results, registration changes, payment events, account and club changes, and result corrections, are logged with who did them, when, and what changed. This is how clubs and competitors can trust the results and how disputes get resolved.
- Email log. Every email we send is recorded with the recipient, subject, time, and whether our email provider accepted it, so a club can show a competitor was notified.
- Presence. When you are signed in, the Platform keeps a short-lived session identifier in your browser so live pages such as running orders can refresh.
- Push subscriptions. If you turn on run-day alerts, your browser gives us a push subscription endpoint, which we store until you turn alerts off or it stops working.
4. Payments and donations
Entry fees. When a host club collects entry fees online, checkout runs through Square using the club's own Square account. You enter your card on Square's checkout page. We receive a checkout reference, a payment reference, the amount, any coupon applied, and the status, so the club and you can see what was paid. We never receive or store your card number, and the funds go to the club, not to us.
Donations. When donations are enabled, they are processed by Stripe. We store the Stripe customer ID Stripe assigns to you and a record of the donation. Stripe handles the card details under its own privacy policy.
Club plans. Clubs are not billed during the 2026 beta and no club billing system is active today. When club billing begins in 2027 we will update this policy to say how it is processed.
5. How we use information
We use the information above to:
- Run your account and the Platform, including registrations, check-in, running orders, scoring, results, payouts, and paperwork
- Show dog profiles, event pages, live scoreboards, results, and the photographer directory
- Send transactional email: account verification, password resets, registration and payment confirmations, unpaid entry reminders, waitlist and event notices from clubs, document expiry reminders, event close-out reminders to clubs, photographer booking notices, and message alerts
- Send browser push alerts you have turned on
- Protect against spam and abuse (for example, bot checks on the signup and contact forms)
- Keep the audit and email logs that make results trustworthy and let clubs resolve disputes
- Send official results to K9 Stats HQ for dogs you have connected (section 8)
- Understand usage, fix problems, and improve the Platform
- Meet legal obligations
We do not sell your personal information. We do not use your personal information for targeted advertising. We do not use your private records to train AI models. We do not send marketing email to account holders; the only promotional email we send goes to clubs that have not joined yet, as described in section 9.
6. What is public
The Platform is built around a public competitive record. Anyone, signed in or not, can see:
- Dog profiles: the dog's name and registered name, photo, breed, age, sports, fun fact, official results and event history, titles and career stats from K9 Stats HQ if connected, and the owner's first name
- Event pages, live running orders, and scoreboards: event details, the host club, and for each entered dog its name, breed, class, division, handler name as entered for that run, scores, and placements. Draft and cancelled events are not public
- Club pages: club name, hometown and state, description, website, sports, and upcoming events
- Photographer directory: everything in the photographer profile except the exact home address; the map shows the home base area and travel dates
- The community calendar of events from other organizations
Your last name (other than in a handler name you or a club enter for a run), email address, phone number, mailing address, dog date of birth, microchip number, weight log, documents, messages, and payment records are not public. Photos are served by direct URL, so someone who has a photo's URL can open it.
7. Who we share information with
Clubs, score keepers and judges
When you enter an event, the host club's owners, managers, and score keepers can see your entries, your name and email address, your dog's details including height and date of birth, your payment status, your waiver signature, and the notes and history they keep about your registration. Clubs use this to run the event and to complete the sanctioning organization's paperwork. Clubs can export rosters and results for that purpose. A club's use of your information outside the Platform is governed by the club and the sanctioning organization, not by this policy.
Photographers and clubs finding each other
A club looking for a photographer sees the public directory profile plus distance from its event. A photographer assigned to an event sees the event details and can message the club.

Legal reasons and business changes
We may disclose information when the law requires it, to respond to legal process, or to protect the rights, safety, or property of 7Bark Software LLC, our users, or the public. If 7Bark Software LLC is ever acquired or merges with another company, your information may transfer with the Platform, and this policy will continue to apply until it is changed with notice.
8. K9 Stats HQ connection
K9 Stats HQ is a separate companion product where a dog's titles, career milestones, and statistics are tracked. K9 Events HQ records events and official results; K9 Stats HQ computes what they add up to. The two products share one identifier: the Dog Number. Knowing a Dog Number is never enough to connect a dog. Only the dog's owner can approve a connection.
How a connection is made
- K9 Stats HQ asks. K9 Stats HQ sends us a link request containing only the Dog Number and an opaque request token. We create a pending request, email the dog's owner, and list the request on the owner's account page. Nothing is shared until the owner approves it.
- The owner decides. On the account page the owner can Approve or Deny the request. K9 Stats HQ can also withdraw a pending request before it is approved. A denied or withdrawn request sends nothing.
- Owner-started connections. Once K9 Stats HQ launches, an owner can also start a connection from the account page; we issue a token that the owner completes on the K9 Stats HQ side. K9 Stats HQ cannot approve a request it sent itself.
What we send to K9 Stats HQ
Once a dog is connected:
- We backfill that dog's existing official results, meaning results on runs a club has already locked
- As new results become official (a run is locked, finalized, or the event is closed), we send them
- If a locked result is corrected, we send the correction. If an official result is removed or a run is unfinalized, we send a deletion or a result with its placement cleared
Each result carries the Dog Number, the sanctioning organization, sport, discipline, class, level or division, the event name and date, run and day, the score, placement, points, and qualifying status. We do not send the dog's name, breed, or date of birth, and we do not send your name, email, address, or any other account information. Practice and mock events are never sent.
What we receive from K9 Stats HQ
The connection is deliberately narrow. K9 Stats HQ can send us only:
- Link requests, confirmations, and revocations (Dog Number and request token only)
- Titles and achievements for a connected dog: the title name, sport, organization, and date earned
- Career statistics for a connected dog: a label and value, such as a best distance
Anything else is rejected automatically. K9 Events HQ never receives, and cannot receive, K9 Stats HQ's private records: health conditions, allergies, medications, supplements, veterinary records, lab work, feeding, weight and fitness tracking, daily care, or any of your personal or account details held there. The K9 Stats HQ privacy policy describes the same boundary from its side.
Titles and career stats we receive are shown on the dog's public profile.
Disconnecting
- The owner can disconnect a dog at any time from the account page. K9 Stats HQ can also revoke a connection from its side. Either way, we stop sending that dog's results immediately and tell the other side
- Disconnecting does not automatically erase results already sent to K9 Stats HQ. Ask K9 Stats HQ about the records it holds
- Titles and stats K9 Stats HQ already sent us stay on the dog's profile after a disconnect until we remove them. Email us if you want them taken down
- If the dog is connected again later, syncing resumes and official results are backfilled again the same way
Until K9 Stats HQ launches, the owner-started connection is unavailable, but a request K9 Stats HQ has already sent can still be approved or denied by the owner.
9. Clubs we contact and the community calendar
Club outreach. To find clubs that might want to host on K9 Events HQ, we collect the public contact name, email, and phone number that event organizers publish on sanctioning organizations' event listings. An administrator reviews and sends each email individually; nothing is sent automatically. Every outreach email includes our postal address and a one-click unsubscribe link. Unsubscribing is permanent. This outreach goes through a separate mailbox and never to existing account holders.
Community calendar. We gather public event listings (name, dates, location, organization) from other dog sport organizations' published schedules and show them on our calendar so competitors can plan. If you are an organizer and want a listing changed or removed, email us.
10. Cookies, local storage and tracking
We use cookies that the Platform needs in order to work:
- A session cookie that keeps you signed in, and a longer-lived "remember me" cookie if you tick that box at sign-in
- A security (CSRF) token that protects forms from forged submissions
- A cookie that hides the "we changed our name" notice once you have dismissed it
Your browser's local storage keeps small preferences on your device, such as the last view you chose, dismissed help tips, and a presence identifier for live pages. It never leaves your browser except as described in section 3.
We do not use third-party analytics services, advertising cookies, or cross-site tracking pixels. Our own page view logging (section 3) is the only usage measurement. The Cloudflare Turnstile bot check on the signup and contact forms runs in your browser and may set its own cookie under Cloudflare's policy.
11. Security
We take reasonable steps to protect your information:
- Passwords are stored only as salted hashes; we cannot read them
- All traffic uses HTTPS
- Access is role-based: competitors see their own data, clubs see their own events, and administrative features require administrator accounts
- Email verification and password reset links expire (reset links after 24 hours)
- Significant changes are recorded in the audit log
- Private documents are stored outside the public web folder and require sign-in to download
No system is completely secure, and we cannot guarantee that unauthorized access will never occur. If you believe your account has been compromised, email us right away.
12. How long we keep information
- Account information: for as long as your account exists, and then as needed to close it out
- Official results and event records: kept as part of the competitive record. They stay with the event and on the dog's profile even after an account is closed; we may keep them with the owner's personal details removed
- Registrations, waivers, payment records and audit log: kept for as long as a club, a sanctioning organization, or tax and financial rules may need them. We do not currently delete audit or email logs on a schedule
- Page view logs: kept as operational logs; we do not currently purge them on a schedule
- Uploaded photos: removed from your profile when you delete the dog or photo. The image file may remain in our storage until it is cleared; email us if you need a file removed promptly
- Deleted dogs and events: kept in an archive so they can be restored if deleted by mistake
- Community calendar listings: hidden once the source organization has stopped listing them for a week
- Outreach contacts: kept so we honor unsubscribes; an unsubscribed contact is never emailed again
Our database host keeps backups as part of its managed service. We do not publish a backup schedule, and information you delete may persist in backups for a period before those backups are cycled out.
13. Your choices and rights
What you can do yourself from your account page:
- Update your profile, contact details, and notification settings, and turn push alerts on or off
- Add, edit, and delete dogs, their photos, weight entries, and documents (a dog with paid or upcoming entries asks you to confirm first, and deleted dogs are archived so they can be restored)
- Approve, deny, or disconnect a K9 Stats HQ connection
- Clubs can edit or delete their events; photographers can edit their profile and remove showcase photos
What you can ask us for by emailing [email protected] from the address on your account:
- Close your account. There is no self-service account deletion yet. We will close the account, remove your personal details, and keep only what section 12 describes
- A copy of your information. There is no self-service full export yet. We will send you what we hold about you
- Correction of anything you cannot change yourself, including a result you believe is wrong, which we will refer to the host club where appropriate
- Removal of a photo file, a title we received from K9 Stats HQ, or youth handler information
We aim to respond within 30 days. We may need to verify that you are the account holder before acting.
State privacy rights. Depending on where you live, you may have rights under state privacy law to know what personal information we hold, to have it corrected or deleted, and to opt out of sales or targeted advertising. We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of. To exercise any other right, email us, and we will not treat you differently for doing so.
14. Children
You must be at least 18 years old to hold an account. We do not knowingly create accounts for anyone under 18. The only information we hold about minors is the name and date of birth of a youth handler entered by an adult account holder for a youth class, and that adult controls it and can remove it. If you believe a minor has created an account or that youth handler information was entered without authority, email [email protected] and we will remove it.
15. Changes to this policy
We may update this policy as the Platform changes, for example when club billing begins in 2027 or when K9 Stats HQ launches. When we do, we will change the Effective Date at the top. For material changes we will make reasonable efforts to notify you by email or with a notice on the Platform. Continued use after a change takes effect means you accept the updated policy.
